Payroll Coordinator and Accounting Assistant - Buffalo Bills (Orchard Park, NY)

Position Summary

The Payroll Coordinator and Accounting Assistant provides assistance for payroll and other functions within the Finance Department of the Club.  The position will be responsible for assisting with the payroll process for all part time and game day employees as well as providing administrative and clerical support to the Finance Department.

Job Responsibilities

  • Assist in processing all game day and part time employee payroll.
  • Serve as the primary owner of the electronic time keeping system (ABI Software). 
  • Poll electronic time clocks, review the downloaded information for completeness and accuracy, send to supervisors for review, make appropriate edits, send to Payroll Manager for payment and approve payroll check registers.
  • Assist in contacting various department supervisors for any missed times.
  • Send bi-weekly part time hours reports to Director of Human Resources for review and sign-off.
  • Ensure integrity of payroll data for new hires, terms, transfers, promotions and salary changes.
  • Calculate weekly overtime reports for hourly full time staff and send to Payroll Manager.
  • Compile monthly the Club’s hours reports related to ACA reporting.
  • Perform reviews to ensure accuracy of payroll runs.
  • Complete verification of employment requests and unemployment claims as needed.
  • Assist with employee data changes in payroll and timekeeping software.
  • Troubleshoot user issues within payroll software (UltiPro) as needed.
  • Monitor accuracy of ABI and Ultipro data; maintain integrity of data, systems and processes.
  • Assist with the Club’s charitable entity’s game day responsibilities of 50/50 raffle support.
  • Assist the accounting department in a variety of day-to-day activities and serve as primary back-up for key functions within the department.  Be versatile to carry out duties related to a variety of accounting functions.
  • Maintains entity and department accounting policies and procedures, and implements operational efficiency.

Qualifications

  • Associates degree or equivalent from two-year College or technical school.  Bachelor’s degree is preferred.
  • 2-3 years’ experience in payroll, accounting and/or finance.
  • Experience of Microsoft Office required with a strong knowledge of Microsoft Excel.
  • Knowledge of payroll and time management systems; ABI and UltiPro knowledge a plus.
  • Must be detail oriented, able to set priorities, meet deadlines and think independently.
  • Ability to build relationships and demonstrate excellent interpersonal skills.
  • Must demonstrate outstanding written and oral communication skills.
